Policies – Trail Beast Adventures
Booking & Confirmation
By booking a tour with Trail Beast Adventures, you confirm that you have read, understood, and agreed to all policies on this page. All bookings must be made by riders 18 years of age or older (or accompanied by a parent/guardian for minors). Reservations are confirmed only after payment is received and a confirmation email is issued.
Full payment is required at the time of booking unless otherwise noted. All prices are in Canadian dollars (CAD) and exclude applicable taxes.
Your booking is a contract between you and Trail Beast Adventures. Tour departure times, meeting locations, and required documentation will be provided in your booking confirmation.
Cancellation & Refund Policy
We understand that plans can change. Our cancellation terms are:
• Cancellations made more than 14 days before departure: Full refund less a $50 administration fee.
• Cancellations 7–14 days before departure: 50% refund of the total tour price.
• Cancellations within 7 days of departure / No-shows: No refund.
All cancellations must be made in writing via email to our support team. Refunds are processed to the original payment method and may take up to 14 business days to appear on your statement.
In the event we cancel a tour due to unsafe trail or weather conditions, you will be offered a full refund or the option to reschedule.
Weather, Trail & Operational Changes
Tours operate in most conditions; however, safety is our priority. Trail Beast Adventures reserves the right to cancel, reschedule, or alter routes due to weather, trail conditions, safety concerns, or guide discretion.
Itineraries, arrival times, and stops are guides and may be adjusted without notice for operational or safety reasons. No refunds are issued for minor changes in route or itinerary.
Participant Responsibilities
All participants must:
• Follow all safety instructions and guide directions at all times.
• Arrive at least 15 minutes before the scheduled departure for check-in and safety briefing.
• Present a valid government-issued photo ID and driver’s licence if operating a vehicle (ATV/UTV/snowmobile).
Failure to follow instructions may result in removal from the tour without refund.
Safety & Liability Waiver
Adventure activities involve inherent risks including, but not limited to, operator error, trail hazards, mechanical failures, weather, and terrain. By participating, you voluntarily accept these risks and agree to sign a Liability Waiver and Release of Claims prior to departure.
Trail Beast Adventures and its guides are not liable for injuries, loss, damage or death arising from participation in the tours, except where prohibited by law. You are responsible for your own conduct and compliance with instructions at all times.
Equipment Use & Damage
All tour participants must use Trail Beast Adventures’ equipment unless otherwise agreed. You are responsible for the safe operation of vehicles and gear provided. Participants will be charged for damage caused by negligence or reckless behavior.
Helmets and other safety equipment are mandatory on all tours. Riders must wear appropriate protective gear at all times.
Insurance
We strongly encourage all participants to maintain personal travel and adventure activity insurance covering medical costs, evacuation, equipment damage, and trip interruption. Personal insurance is separate from any coverage offered by Trail Beast Adventures and cannot be substituted by our policies.
Health & Medical Conditions
Participants must disclose any medical condition that could affect their ability to safely participate at the time of booking. Trail Beast Adventures reserves the right to require a physician’s approval if needed or to refuse participation for safety reasons.
Conduct & Right to Refuse Service
Trail Beast Adventures reserves the right to refuse service or remove any participant from a tour for:
• Intoxication or drug use.
• Reckless or unsafe behavior.
• Failure to comply with guide instructions.
• Any behavior that endangers others.
No refunds will be given for participants removed under these circumstances.
